The Healing with Horses Foundation is a community-focused nonprofit organisation based in Buccoo, Tobago, dedicated to supporting healing, rehabilitation, and wellness through equine-assisted and nature-based programs. Working closely with horses and other gentle animals, we provide therapeutic and inclusive experiences for individuals of all backgrounds, including differently abled persons and those seeking emotional healing and personal growth.
Through equine therapy, structured equine interactions, wellness activities, and creative programs incorporating upcycled and recycled art and community-centred programming, we aim to build confidence, encourage self-expression, and foster connection, resilience, and overall well-being.
Role Summary
The Programme Manager – Client Services is responsible for coordinating and overseeing on-site programmes, client services, volunteers, interns, and visitor engagement activities at the Healing with Horses Foundation.
The role supports the delivery of inclusive, safe, and impactful programmes for clients — including persons within the differently abled community — while ensuring daily operations are conducted in an efficient, professional, and welcoming manner. The role also supports programme monitoring, reporting, and continuous improvement initiatives that inform our impact reports, CSR partnerships, donor communications, board reporting, and grant applications.
The ideal candidate is professional, proactive, personable, and highly organised, with strong leadership and interpersonal skills and the ability to manage multiple stakeholders while maintaining confidentiality, operational standards, and positive community relationships.
Key Responsibilities
Client & Stakeholder Engagement
- Welcome and assist visitors, clients, volunteers, interns, and partners in a professional and courteous manner
- Conduct participant check-in procedures, including roll call, assignment of name tags, and distribution of work attire or programme materials
- Foster a safe, inclusive, and welcoming environment for all participants and stakeholders
- Serve as a key point of contact for programme participants, schools, community organisations, and external partners
- Ensure Foundation principles, policies, and programme guidelines are consistently upheld by staff, volunteers, interns, and participants
Programme Coordination & Supervision
- Coordinate and oversee daily, weekly, and monthly programme activities, including equine therapy sessions, beach clean-ups, yoga sessions, educational visits, and fundraising activities
- Supervise the smooth execution of on-site programmes and activities to ensure quality service delivery and participant engagement
- Assign and coordinate daily park, animal care, and programme-related duties for volunteers and support staff
- Monitor attendance, participation, and programme flow to ensure operational efficiency
- Support programme scheduling and assist with logistical coordination for events and activities
Volunteer & Intern Coordination
- Coordinate volunteer and intern participation, orientation, and daily assignments
- Provide guidance, supervision, and support to volunteers and interns during programme activities
- Promote teamwork, accountability, and a positive working environment among programme participants and support personnel
- Assist in maintaining accurate attendance and participation records for volunteers and interns
Visitor Experience & On-Site Operations
- Host and coordinate visitor experiences at the Foundation during operational hours
- Support the creation of positive, engaging, and educational experiences for guests and programme participants
- Assist in maintaining organised, safe, and efficient programme spaces and visitor areas
- Coordinate operational activities in collaboration with management and programme staff
Programme Reporting & Development
- Maintain accurate records relating to programme participation, attendance, volunteer engagement, and client activities
- Prepare routine reports and provide updates on programme operations, participation levels, and outcomes
- Monitor programme effectiveness and identify opportunities for improvement
- Provide recommendations to management regarding new programme ideas, community initiatives, and client engagement activities
- Support the development and enhancement of inclusive programmes aligned with the Foundation’s mission and objectives
- Assist with collecting feedback from clients, volunteers, and stakeholders to support programme evaluation and continuous improvement
Qualifications & Skills
- Minimum of 3 years’ experience in programme coordination, supervision, or community-based services — particularly involving persons with disabilities or vulnerable communities
- Strong interpersonal, client service, and stakeholder engagement skills
- Excellent verbal and written communication skills
- Strong organisational and leadership abilities with attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or equivalent digital tools
- Ability to manage multiple priorities in a dynamic, people-centred environment
- Demonstrated professionalism, integrity, and ability to handle confidential information with discretion
Desirable Experience
- Experience working within equine, animal-assisted, therapeutic, or outdoor programme environments
- Experience supporting persons with disabilities or within inclusive community programmes
- Previous experience coordinating volunteers, youth groups, or community-based initiatives
- Familiarity with nonprofit or mission-driven organisations would be an asset

- Position may involve standing, walking, and supervising outdoor activities for extended periods
